Finishing your manuscript is not the same as finishing your ebook. Before publication, the text must be turned into a digital file that readers can navigate and enjoy on the devices available to them.

Poor formatting creates unnecessary obstacles. A reader may encounter tiny text, broken paragraphs, inconsistent headings, blurry images or a table of contents that does not work. Even when the ideas are valuable, these problems can make the book feel unfinished.

This checklist explains how to format an ebook in Nigeria without losing sight of the person who will actually read it.

1. Decide what the ebook must accomplish

Formatting decisions should follow the purpose of the book. A novel, devotional, business guide and illustrated workbook do not require the same structure.

Ask these questions before opening your design software:

  • Will readers move through the book from beginning to end?
  • Will they frequently return to particular chapters or exercises?
  • Does the book depend on photographs, charts, tables or worksheets?
  • Should the reader be able to enlarge the text easily?
  • Is the book mainly intended for phones, tablets, computers or dedicated reading devices?

A text-heavy book usually benefits from a flexible, uncomplicated layout. A workbook or visual guide may need more control over where elements appear. Defining the reading experience first prevents you from choosing a format simply because it is familiar.

2. Choose the file type deliberately

Two formats authors commonly encounter are PDF and EPUB. They behave differently, so neither should be treated as the automatic choice for every project.

PDF

A PDF generally preserves the appearance and position of material on each page. This can be useful for workbooks, reports, manuals and books in which the relationship between text and images must remain fixed.

However, a page designed for a large screen may be uncomfortable to read on a phone. Readers might have to zoom in and move around the page repeatedly.

EPUB

An EPUB is usually designed to let text adjust to the reader's screen and selected font size. This can make it suitable for novels, biographies, devotionals and other books built mainly around continuous text.

Its flexibility also means that authors should not depend heavily on exact page positions. A heading that appears near the bottom of one reader's screen may appear elsewhere on another device.

Check the requirements of your intended publishing or distribution platform before producing the final file. Do not assume that every platform accepts the same formats or file specifications.

3. Remove print-only formatting

A digital book is not simply a photographed or exported version of a printed book. Some features that make sense on paper become confusing on a screen.

Review the manuscript for:

  • References such as see the opposite page or turn to the next page
  • Headers and footers repeated on every page
  • Decorative page borders
  • Multiple blank lines used to force a page break
  • Page numbers inserted manually
  • Text arranged with spaces instead of proper alignment tools

Use structural controls such as heading styles, paragraph spacing and intentional breaks. Avoid pressing the space bar or return key repeatedly to make content appear in a particular position.

4. Build a clear content hierarchy

Readers should be able to tell immediately when a new part, chapter or subsection begins. Create a small and consistent hierarchy rather than formatting each heading independently.

A practical structure might include:

  • Book title: used once at the beginning
  • Part title: used for major divisions where necessary
  • Chapter heading: used for each main chapter
  • Subheading: used to divide longer discussions
  • Body text: used consistently for normal paragraphs

Keep similar elements visually consistent. If one chapter heading is bold and centred, the other chapter headings should not suddenly become italicised and left-aligned without a clear reason.

5. Make the typography comfortable

Typography should help the reader concentrate on the message rather than draw attention to itself. Decorative fonts can work on a cover, but body text normally needs a clear and familiar typeface.

For a readable interior:

  • Use one main typeface for body text
  • Limit the number of additional typefaces
  • Avoid very small text
  • Leave enough space between paragraphs and sections
  • Keep body-text alignment consistent
  • Use bold and italics selectively
  • Avoid writing long passages in capital letters

If you are preparing a PDF, test the pages at their actual display size on a phone. Text that looks elegant on a laptop may become tiring when reduced to a smaller screen.

6. Create useful navigation

A table of contents should do more than list chapter names. In a digital book, it should help readers move directly to the relevant section whenever the format supports linked navigation.

Use proper heading styles while preparing the manuscript. These styles can make it easier for suitable software to recognise chapters and generate navigation.

Check every table-of-contents entry before publication. Confirm that it:

  • Uses the correct chapter title
  • Appears in the correct order
  • Leads to the intended section
  • Does not include accidental blank headings

Reference books, devotionals, textbooks and practical guides benefit especially from dependable navigation because readers may not read them in a single linear sequence.

7. Handle images, tables and links carefully

Images should be clear enough to serve their purpose without making the file unnecessarily difficult to download or store. Crop unused areas, keep proportions natural and avoid stretching small images until they become blurred.

Complex tables are often difficult to read on narrow screens. Consider whether the information can be simplified, divided into smaller tables or presented as a list.

Links should use meaningful wording where possible. Test each one, but remember that some readers may be offline when reading. Do not hide essential explanations behind external links.

8. Include the essential book information

A complete ebook needs more than the main chapters. Depending on the project, its opening and closing sections may include:

  • Title page
  • Copyright and publication information
  • Table of contents
  • Dedication or acknowledgements
  • Introduction or preface
  • Main chapters
  • Notes or references
  • Author biography
  • Information about other relevant books

Only include sections that serve a genuine purpose. An ebook does not become more professional merely because it contains many introductory pages.

9. Test the ebook like a reader

Do not approve the file after checking it only on the computer used to create it. Open it on more than one screen size if possible, including a phone.

During testing, examine:

  1. The cover and title page
  2. The first paragraph of every chapter
  3. The table of contents and internal navigation
  4. Paragraph spacing and indentation
  5. Lists, quotations, tables and images
  6. Links and references
  7. Unusual symbols, apostrophes and quotation marks
  8. The final pages and author information

Read several full pages instead of checking appearance alone. Problems with line spacing, paragraph length and visual fatigue often become noticeable only during sustained reading.

10. Complete a final pre-publication check

Before uploading or distributing the ebook, confirm that:

  • The title and author name are written consistently
  • The final file contains the approved manuscript
  • Tracked changes, comments and editing notes are removed
  • Chapter headings follow one system
  • No pages or sections are accidentally blank
  • Images are clear and correctly positioned
  • Navigation works where applicable
  • The file opens without errors
  • The filename is clear and professional
  • A separate backup copy has been stored safely

It is also wise to ask another person to test the final file. Authors know what they expect to see and can unconsciously overlook mistakes that are obvious to a new reader.

Formatting is part of the reading experience

Good ebook formatting is not about adding decoration to every page. It is about removing friction between the reader and the author's ideas.

Start with the book's purpose, choose the file type deliberately, create a consistent structure and test the final result on realistic devices. A careful final review can help your ebook feel clear, usable and ready to be presented to readers.
